Shipping Instructions:
All exhibit materials not being hand-carried by the exhibitor should be sent to Freeman’s warehouse facilities or direct to show site. Pre-addressed shipping labels for both locations may be found online at Freeman. Or, you may download the Warehouse label and the Show Site label.
Warehouse shipments will be accepted no earlier than December 28, 2009, and no later than January 19, 2010, and should be addressed:

Off-Target Requests
The 2010 PGA Merchandise Show is a targeted show. Download the color-coded target floor plan which will give you your specific targeted date & time for move-in. Targeted move-in is for delivery of freight; you do not have to begin construction of your booth on your target date/time, but your freight shipment(s) should be at the convention center on that date and time. Obviously, your installation cannot begin until your freight is delivered and any utilities you need have been installed, so be certain to order these in advance of move-in. Keep in mind, your target date & time applies to when your shipment(s) must be received by - it does not mean you must begin to set-up your booth at that time. Download the Off-Target Request Form.
No Freight Aisles
"No Freight Aisles", as designated on the official floor plan, must remain free and clear for movement of freight. Items left in these clearly marked aisles will be moved into the booth by Freeman to avoid delays and ensure a timely move-in process.
Empty Crates
All exhibits shipped via crate MUST have all crate contents unpacked by 5:00pm, Tuesday, January 26, 2010. All crates must be empty and labeled for removal no later than 11:59pm, Tuesday, January 26, 2010. Empty labels may be obtained at the Exhibitor Service Center located on Level 1 at the base of the ramp. Empty crates will be stored and returned to the booth at the close of the show.
Personally Operated/Passenger Vehicle (POV – Self Unloader / Loader):
The following criteria are used to define vehicles that qualify as POVs:
- Vehicle is NOT a closed-bodied vehicle with dual wheel.
- Vehicle is NOT a truck, utility van, or trailer pulled by another vehicle. Personal vans filled with exhibit materials will be required to use material handling services provided by the Official Service Contractor.
- Can be unloaded / loaded by exhibitor personnel, by hand or an apparel rack, within 20 minutes of positioning at dock. No wheeled carts are permitted.
Exhibitors requiring motorized equipment to unload/load must use material handling service, provided by the Official Service Contractor. Any vehicle left unattended at any time in the loading area(s) will be towed at the owner’s expense. Arrangements for material handling may be made in advance or on-site at the Exhibitor Service Center. Please refer to the Material Handling Order Form, found in the General Contractor section of the manual for details.
Vehicle Check-In:
All non-POV vehicles are required to check in at the Freeman Marshaling area. Personally Operated Vehicles (POVs) will be screened for eligibility. Non-POV vehicles will be directed to follow established material handling procedures outlined on the Material Handling Order Form (see General Contractor section of the manual).
A security checkpoint for all trucks entering OCCC property is located on Freight Way Drive. At this checkpoint, the driver will be issued a loading dock delivery pass after showing a bill of lading and picture identification. Surrendering the delivery pass at the dock entrance will permit access. Random truck inspections may occur. Vehicles without the delivery pass will not be granted access into the loading dock area and will have to proceed to the Freight Way Drive checkpoint to obtain the required pass. At move-out, exhibitors will not be required to re-enter the Freight Way checkpoint IF they are parked on property prior to the beginning of move-out and are able to produce a valid exhibitor badge. In the event an exhibitor is neither able to produce a valid exhibitor badge, nor park on property prior to move-out, they will have to re-enter the Freight Way checkpoint prior to gaining access to the loading dock area.
If you are qualified as a Personally Operated Vehicle (POV), two unloading/loading options are available: to self-unload/load, or to utilize Caddie Service, operated by Freeman. If a vehicle does not qualify as a POV, they must follow established material handling procedures. Qualified vehicles electing to self-unload/load will be directed to the appropriate staging area on a first-come, first-serve basis. POVs electing to utilize Caddie Service will be directed to the appropriate staging area for Freeman labor and equipment assistance.
Caddie Service:
Caddie Service is a feature for POVs only. This service will be available at a nominal one way or round trip rate (see the General Contractor section of this manual for pricing). Workers equipped with a flat cart will assist Exhibitors with unloading for a maximum of 20 minutes. If more than one (1) trip is necessary to unload, an additional per trip fee will be assessed. Round-trip service must be contracted during move-in. No refunds will be given if this service is not used for move-out. Caddie Service for the move-out NOT purchased as a round-trip during move-in, will be assessed the one way rate.

Caddie Service is intended:
- To facilitate move-in/out for exhibitors requiring minimal assistance.
- As a means of allotting valuable loading dock space and cost-effective labor crews during move-in/out.
- As an integral part of an overall plan to minimize disruptions to the ongoing movement of forklifts, crates and other large exhibit materials during the move-in/move-out process.
Freeman will store Caddie Service-delivered cardboard and/or product boxes at no additional charge. Exhibitors who require motorized equipment to unload/load must use Material Handling Services. Arrangements for material handling may be made in advance with Freeman, or on-site at the Exhibitor Service Center. For further information about Caddie Service and POVs, please refer to Caddie Service Information in the General Contractor section of the manual.
Mobile / Self-Propelled Equipment:
Mobile equipment requiring the use of a forklift to unload/load will be charged the prevailing rate for forklift services. For rates, please see the Material Handling Order Form in the General Contractor section of the manual. Golf carts and/or other motorized vehicles, i.e., automobiles, vans, etc., may only be off-loaded/loaded through Freeman, on a flat fee basis per vehicle round trip.
